How to Use KenwoodScribe
Getting Started
KenwoodScribe is an AI-powered veterinary scribe that records your consultations in real time and generates structured SOAP notes and client summaries.
Only pay for what you use. There's no monthly subscription — you're only charged when you generate a SOAP note or phone summary. Recording, transcribing, and saving transcripts is always free, no matter how long the session. Use the transcription as much as you want at zero cost.

Requirements: Google Chrome or Microsoft Edge on a computer, or Safari on an iPhone or iPad (see Using KenwoodScribe on iPhone below). Other browsers are not supported for recording, but you can still paste transcripts manually.
Recommended microphone: For the best transcription accuracy, we recommend a wireless clip-on microphone such as the DJI Mic Mini. Plug the wireless receiver into your office computer (or treatment room workstation) and clip on just the mic — you can walk freely into exam rooms and the mic transmits everything back to the computer where KenwoodScribe is running. No need to carry your phone or laptop with you. A dedicated wireless mic also dramatically improves recognition quality over your computer's built-in microphone, especially in a busy clinic environment.
License key: You need a valid license key to use KenwoodScribe. If you don't have one, or if you're having trouble with your key, contact jeffschulman@kenwoodpetclinic.com.
Using KenwoodScribe on iPhone
On iPhone and iPad, recording only works in Safari — not Chrome, Firefox, or links opened inside other apps. In Safari, recording keeps going with the screen locked, so the phone can sit face-down or in a pocket during a consultation.
Open kenwoodscribe.com/app.html in Safari and allow microphone access when asked.
Make sure Dictation is on: Settings → General → Keyboard → Enable Dictation.
To get back to it quickly, save it as a Safari bookmark or Favorite: tap ••• → Share → Add to Favorites.
Don't add KenwoodScribe to your Home Screen as a web app. In that mode, iPhone stops recording when the screen locks. A Home Screen icon with Open as Web App switched off opens in your default browser, so it only works if Safari is your default browser.
Step-by-Step Workflow
① Record & Transcribe
Click Start Recording and conduct your consultation normally — silences are fine, just speak naturally.
The transcript appears in real time as you talk. You can also paste or type a transcript manually.
When finished, click Stop & Save.
Enter the pet's name in the Pet Name field at any time — before, during, or after recording. The pet name is optional; if left blank, the session will be saved as an unknown patient.
② Generate SOAP Note
Click Generate SOAP → to produce a structured SOAP note from your transcript. The note includes:
Subjective / Objective — Presenting complaint, history, vitals, and exam findings in chart shorthand
Assessment / Plan — Problem list with rule-out differentials, diagnostics, treatment, recheck, and client education in chart shorthand
Use the 📋 Copy SOAP Note button to paste it into your medical records system.
③ Client Summaries
After generating a SOAP note, the Client Summaries tab becomes available with three outputs:
Concise Summary — Brief follow-up suitable for a text message or patient portal
Detailed Email Summary — Comprehensive follow-up suitable for emailing to the client
Medical Record Plan Note — Concise clinical plan in chart shorthand, ready to paste into the record
Use the 📋 Copy button on any of the three.
④ Phone Summary
Use the 📞 Phone Summary button for phone calls instead of in-person consultations. This generates a concise summary of the call suitable for pasting directly into the medical record, plus a Detailed Email Summary of the call you can send to the client. Phone summaries are generated independently — you don't need to generate a SOAP note first.
✨ Smart SOAP Extraction — One SOAP From an Entire Day
Record an entire afternoon — or even a full day — of back-to-back appointments as a single transcript. When you need a SOAP note for just one patient, KenwoodScribe extracts only their portions from the full recording.
Here's how it works:
Say you hit record at the start of your afternoon and leave it running across five appointments. Later that evening, you need the SOAP note for Bella. Just type "Bella" in the pet name field, check the "Multi-pet transcript — extract only this pet" checkbox, and click Generate SOAP →. KenwoodScribe scans the entire transcript, finds only the sections relevant to Bella, and generates a complete SOAP note from just that content.
You only pay for the one SOAP you generate — not for the entire transcript. To save even more on long transcripts, highlight the portion you believe covers that pet before clicking Generate — KenwoodScribe will only scan and charge for the highlighted section.
Save the transcript and you can come back any time within the next 6 weeks to pull up a different patient and generate their note on demand. One recording session, unlimited SOAP notes on your schedule.
If KenwoodScribe can't automatically match the name you entered, a modal will appear prompting you to select the correct patient from the list of identified pets.
Multi-Pet Transcripts
If a single consultation involves multiple pets (e.g., two patients seen in one appointment):
Enter each pet's name separated by "and" or commas — e.g., "Fluffy and Jerry"
Click Generate SOAP →
A modal will appear letting you choose which patients to generate SOAP notes for now. Unselected patients are saved as drafts with the full transcript so you can generate their notes later.
Saving & Past Sessions
Sessions are saved automatically when you generate a SOAP note or phone summary.
Your work saves automatically: Stop & Save saves the recording, and any typing or pasting in the transcript, Pet Name, or Emphasis saves itself a moment after you stop typing.
The Past Sessions sidebar on the left shows all your saved sessions. Click any session to review it.
Draft sessions show a ✏ draft badge and can be reopened to generate notes later.
Sessions are stored in your browser's local storage on your computer — they are not uploaded to any server. This means your sessions are specific to the browser and computer you're using. Clearing your browser data or switching browsers/computers will remove them.
Sessions are kept for 6 weeks, after which they are automatically removed on the next app launch.
To manually remove a session, click the ✕ button next to it in the Past Sessions sidebar.
Balance & Billing
Your credit balance is displayed in the top-right corner of the app next to the "Licensed ✓" badge.
Pricing: Click the 💲 Pricing button in the header to see current rates and example charges by transcript length.
Charge history: Click 📋 History to view your recent charges.
Adding funds: Click + Add Funds to purchase additional credits. Select a top-up amount and complete payment through our secure checkout. Your balance updates automatically once payment is confirmed.
Low balance warning: An amber banner appears when your balance is getting low. You can still generate during this period.
Locked state: If your balance drops below the limit, generation buttons are disabled. Once your balance is replenished, your account unlocks automatically — use the ↺ refresh button next to your balance to check for updates.
Tips
You can edit the transcript at any time before generating — fix names, add notes, or remove irrelevant sections.
Use ↺ Regenerate on any saved session to re-generate the SOAP note from the same transcript (useful if you edited the transcript after the first generation). Note that regeneration counts as a new generation and will be charged accordingly.
KenwoodScribe works best with transcripts of natural conversation. You don't need to dictate in a structured format — the AI handles the organization.
Cost-saving tip for long multi-pet transcripts: Before clicking Generate, highlight the portion of the transcript you believe covers a specific pet. Smart Extract will only scan the highlighted section, and you'll only be charged based on that smaller word count rather than the full transcript length. If you don't highlight anything, the full transcript is scanned as usual.
